Privacy Policy

Frontline WHS is a workplace health & safety platform for frontline and industrial workers. This policy explains what data we collect, why, and how we protect it.

• Account info: name, email address, profile photo (via Clerk authentication)
• Location data: GPS coordinates when signing on/off worksites and submitting safety reports
• Camera & photos: images captured for incident reports, audits, form attachments, and QR code scanning
• Microphone & voice: audio recorded when you use voice to fill in a form (see AI Processing below)
• Device info: browser type, operating system, device type
• Usage data: screens visited, features used, timestamps

• To provide and improve the Frontline WHS service
• To verify worksite attendance and location-based safety workflows
• To send service emails such as alerts, reminders, and action items
• To generate safety analytics and compliance reports for your employer

We do not sell your personal data. Full subprocessor detail and our security controls are published at getfrontline.io/trust.

• We use AI to turn unstructured input (voice, photos, free text) into structured records.
• Voice recordings are transcribed by OpenAI. Text and images submitted to AI features are processed by OpenAI and OpenRouter.
• Your data is not used to train third-party AI models.
• You retain ownership of all data you submit.

• Customer records and uploaded files are stored in Australia.
• Some service providers listed above operate in the United States. Those transfers are covered by standard contractual clauses or equivalent safeguards.

• Your data is shared with your employer or organisation as part of the WHS platform (for example, safety reports, audit completions, sign-on records).
• We share data with third-party service providers only as needed to operate the platform (listed above).
• We may disclose data if required by law.

• Data is retained for as long as your account is active or as required by your employer's compliance obligations.
• You can request account deletion by contacting us. We will delete your personal data within 30 days, except where retention is required by law or your employer's WHS obligations.

• Access, correct, or delete your personal data.
• Withdraw consent for optional data collection such as location via your browser settings.
• Request a copy of your data.

• All data is encrypted in transit (TLS) and at rest.
• Role-based access controls, with every request scoped to your organisation.
• Regular security reviews of infrastructure and dependencies.
• If a breach affects your personal information, we will notify affected individuals and the relevant authorities as required by law.

• Our marketing website (getfrontline.io) uses Google Analytics 4 to understand which pages people read and which lead to a demo request. It sets first-party cookies in your browser.
• The website also runs HubSpot's tracking script. If you submit a demo request, it lets us see which page and campaign brought you to us, recorded against your contact record in our CRM. Booking a demo creates a calendar invitation through HubSpot.
• IP addresses are anonymised by Google Analytics and we do not use analytics data for advertising or remarketing.
• You can opt out with any standard browser tracking protection, an ad blocker, or Google's opt-out browser add-on.
• None of this applies to the Frontline application itself (app.getfrontline.io), which carries no third-party analytics.

Frontline WHS is not intended for users under 16. We do not knowingly collect data from children.

We may update this policy. We will post the updated policy on this page and update the date above.
